A hidden tab is not a reliable way to keep data private from people who can access a Google Sheets file.
Editors can unhide it, and Google describes a viewer-copy route where copying is available.
Sheet protection limits edits; it does not create a password-protected private tab. Check file-level access and copy settings before sharing.
This guide is based on a review of Google’s current Computer help pages, not on a test of a real workbook or account. Your file’s actual roles and settings decide what each recipient can do.
Hidden, protected, restricted: what each one limits
Google’s Sheets help puts it plainly: "Hiding a sheet is not the same as protecting a sheet." The three controls below answer different questions.
| Action | Intended effect | Limit |
|---|---|---|
| Hide tab | Declutter the workbook | Editors can unhide it |
| Protect sheet or range | Restrict who can edit | Not a way to keep data private |
| File sharing and copy controls | Manage access and copy options by role | Your account settings and other ways of sharing still matter |
On hiding, Google’s help says "All spreadsheet editors can unhide and view these sheets for convenience." Hiding is aimed at tabs that are old or hold background calculations, not at confidential content.
On protection, the same page says it "shouldn’t be used as a security measure," and lists that when you protect a sheet you can’t "Protect data with a password." Protection decides who may change cells; it does not decide who may read them.

What a viewer may still access
Google’s help states that "Spreadsheet viewers can still access content in hidden sheets." Its example is a copy: if a viewer makes a copy of the spreadsheet, the sheets stay hidden in that copy, but the viewer can unhide them there. That route concerns the viewer’s own copy, not the original file.
Copying may be restricted, though. Google Drive documents a sharing setting where an owner chooses which roles can download, copy and print the file. Whether a given viewer has a copy option depends on how that file is set up, so do not assume either way.
Even where those options are limited, Google’s Drive help adds: "you can’t stop how others share the file content in other ways." A restriction on copying is not a guarantee that content stays inside the file.

Before you share: four checks
Work through these for your own file. They are questions for you to answer, not steps this guide has carried out:
- Is each recipient allowed to see all of the data in the file, including any hidden tabs?
- What is each recipient’s actual role on the file: viewer, commenter or editor?
- Are download, copy and print options available to that role in the file’s sharing settings?
- Does the current file contain anything that should not be provided to that recipient at all?
If the answer to the last question is yes, hiding a tab does not change that answer. This guide does not recommend editing a live sensitive document or suggest a single safe layout for every workbook.
Three questions about hidden and protected sheets
Does hiding a tab add a password?
No. Google treats hiding as separate from protection, and its list of what you can’t do when you protect a sheet includes "Protect data with a password."
Can a viewer always make a copy?
Do not assume so. Google describes copy, download and print controls by role, and what a particular viewer sees depends on the file’s settings.
Does "Show a warning when editing this range" block edits?
No. Google says it "doesn’t block people from editing," but they will see a message asking them to confirm the edit. Limiting who can edit is the separate "Restrict who can edit this range" choice. Reading about either option changes nothing in your file.
